| Minutes of Meeting | 1. Readiness of documents for AG n DG Visits The president has indicated the upcoming DG and AG Visits and their readiness and requested all avenue directors to give their respective reports so that the Secretary can start compiling and preparing one final report. Quite a few suggestions were received from the board about how to plan and involve people in DG visit. Decided to invite ITM’s dean and GM and also PDG Rtn Dr Shailesh Palekar for DG Visit. Discussed on checking the status of ITM Rotaract club and check the possibilities of reviving/re-start the club if its terminated. Rtn Dr Kiran indicated about high membership fees thus, concern of getting new members on board however, planned to induct 4-5 members before the DG Visit. Planned of man to man marking to approach inactive members, Kiran to share the list. Rtn Ritesh requested members to use social media handle to propagate the upcoming Fundraiser to the masses. Suggested that the Projects which we have done till now at ITM can convert to RYLA. 2. Formation of Finance Committee All members unanimously agreed that we should laid-down the process of Finance discipline hence, it was suggested that we shall form a Finance Committee immediately by lead by Rtn Praful, Rtn Sham & Rtn Girijakant (Yet to take the consent from Sham and GK) and they will come up with the process which shall then to be discussed in the upcoming business meet/BOD Meet. 3. Expenses Capping (Installation + DG Visit + Year End Party ) After lots of discussions and deliberations, it was decided that the capping of INR 1.20L for all three major events i.e. Installation, DG Visit & Award ceremony/Year end party has been finalized. 4. Budget for the Remaining period of RY 2023-24 The treasurer listed out the remaining events/meetings in this RY and has given the rough estimate of 1.33L + Membership fees of Rtn Harsha as available funds. |
